4. Calendar Integrations
VBA Bookings may connect with Microsoft Outlook, Microsoft 365, and other supported calendar services.
When an authorized calendar owner connects a calendar, VBA Bookings may access availability information and the event data necessary to create, update, or synchronize appointments.
Calendar information is used for scheduling purposes, including preventing conflicting appointments.
Private calendar event details are not displayed to customers booking appointments.
VBA Bookings will only modify external calendar events when appropriately authorized, such as events created or managed through the booking system.
Connected calendar owners may disconnect authorized integrations through the available account or calendar settings.
5. Payment Processing
VBA uses authorized payment processors, including Stripe, to process eligible transactions.
Payment providers may collect and process payment information according to their own privacy policies and applicable agreements.
VBA receives the transaction information necessary to verify payments, maintain booking records, process refunds, and address billing disputes.
6. Employee Discounts and Guest Benefits
VBA Bookings may process limited employee eligibility information to administer approved service discounts.
This may include an employee identifier, active employment eligibility, annual benefit allowance, discount redemption history, and associated guest bookings.
When an employee shares an eligible discount with a friend or family member, VBA may associate the guest's discount redemption with the sponsoring employee's allowance.
Guest contact details will not be made available to the sponsoring employee solely because the employee provided the discount.
Only authorized personnel may access protected employee discount administration records.
7. Information Sharing
VBA does not sell personal information collected through VBA Bookings.
Information may be shared with authorized service providers as necessary to operate the platform, including:
- Calendar and meeting providers
- Payment processors
- Hosting and database providers
- Email and notification providers
- Authorized VBA personnel administering appointments
VBA may also disclose information when required by law, to investigate suspected fraud or security incidents, or to protect legally recognized rights.
8. Data Security
VBA uses reasonable administrative, technical, and organizational safeguards designed to protect personal information.
These safeguards should include encrypted connections, restricted administrative access, secure handling of integration credentials, and access controls appropriate to the sensitivity of the information.
No electronic system can guarantee absolute security.
Customers should avoid submitting unnecessary passwords, financial account credentials, or highly sensitive personal information through appointment intake forms.
9. Data Retention
VBA retains booking records and related information for as long as reasonably necessary to provide services, maintain business records, resolve disputes, prevent fraud, and comply with applicable legal obligations.
Information that is no longer required will be deleted or anonymized according to VBA's retention practices, subject to applicable legal and operational requirements.
Disconnecting a calendar integration does not automatically delete historical appointment or payment records that VBA is required or permitted to retain.
10. Cookies and Similar Technologies
VBA Bookings and integrated service providers may use cookies, session storage, or similar technologies where necessary for authentication, security, payment processing, and operation of the platform.
Any optional analytics or tracking technologies will be handled according to VBA's applicable privacy disclosures and consent requirements.
Customers may manage available cookie preferences through the platform or their browser.
11. Customer Privacy Rights
Depending on applicable law, individuals may have rights to request access to, correction of, or deletion of their personal information.
Individuals may also have rights relating to certain uses of personal information.
Privacy requests may be submitted to legal@vbaspire.com.
VBA may verify a requester's identity before processing the request and may retain information when required or permitted by law.
12. Third-Party Services
VBA Bookings may use third-party services, including Microsoft and Stripe, to deliver scheduling, communications, and payment functionality.
These services may operate under their respective privacy policies.
VBA is not responsible for the independent privacy practices of third parties outside its control.

VBA does not knowingly collect personal information from children under 13 through Executive Advisory booking forms.
If such information is identified, VBA will take appropriate steps consistent with applicable law and its companywide Privacy Policy.
